Job Summary:
The Executive Assistant to the Vice President for Library & Information Technology provides executive-level administrative and operational support to the Vice President, respecting and protecting the confidentiality of information shared within the office. The Executive Assistant works independently and proactively to support the overall work of Library & Information Technology and fosters trust by living the organization's vision and value statements. The Executive Assistant also manages Bertrand Library's physical space.

This is a 12-month, staff exempt (salary), full-time (40 hours) benefits eligible position based in Lewisburg, Pennsylvania.

Job Duties:

Executive Support
  • Independently manage administrative processes and oversee the daily operations of the organization through the Vice President's office
  • Provide executive-level administrative support to the Vice President, including managing projects, complex calendaring, coordinating and supporting meetings and events, preparing draft communications, arranging travel, and submitting appropriate travel reports;
  • Prepare presentations and related communications;
  • Work collaboratively with the Library & IT leadership team; actively participate in meetings and the work of the team;
  • Initiate and plan organizational staff meetings/events, campus events and special events;
  • Support the work of the Committee on Library & Information Resources and other university committees on which the Vice President serves;
  • Actively participate as a member of Library & IT's Diversity, Equity and Inclusion Council, representing that leadership team;
  • Coordinate special projects assigned by the Vice President;
  • Respect and protect the confidentiality of information shared within the Vice President's office and the organization.


Financial Oversight and Human Resources Support
  • Working with the Budget & Procurement Analyst, recommend use of the Library's endowed funds as appropriate for library expenses and track spending against those funds;
  • Collaborate with University Advancement to report spending and acknowledge endowed fund donors.
  • Maintain working knowledge of HR policies, procedures, and processes and serve as a point of contact for L&IT staff;
  • Maintain familiarity with Workday Recruiting;
  • Support casual staff hiring and track wages against the approved budget;
  • Support onboarding for all new staff.


Communications Management
  • Work closely with staff in the University President's office to ensure timely communication between the President and the Vice President;
  • Develop effective working relationships with campus constituents to support the work of Vice President and to offer support to the work of other divisions;
  • Maintain effective relationships with Executive/Administrative Assistants in other executive offices across campus to facilitate increased efficiencies and effectiveness;
  • Develop and execute communications to Library and Information Technology staff.


Library Building Liaison
  • Proactively participate in work that advances the strategic initiatives focusing on the library as a "place";
  • Work closely with campus constituents who have a critical interest in library space;
  • Develop capital budget requests for library building related projects and manage expenditures against approved project budgets;
  • Act as the project coordinator for all Library renovation projects in partnership with Facilities project managers;
  • Engage with L&IT's Student Advisory Group on use of the library's physical space;
  • Co-chair the library's Emergency Response Team;
  • Maintain secure key inventory for library staff.


Minimum Qualifications

Education:
  • High school diploma


Professional Work Experience:
  • Five years' executive-level administrative experience;
  • Experience supporting the communications and operational needs of a large staff, and the ability to work collaboratively with the staff;
  • Technical proficiency and knowledge of current office productivity tools, including email, electronic calendars, and other electronic resources;
  • Working knowledge of ordering, receiving, and invoicing within an automated system;
  • Working knowledge of budgeting processes;
  • Effective interpersonal, organizational, and written / oral communication skills;
  • Proven ability to work independently, think proactively and prioritize tasks in a dynamic environment;
  • Cultural competency with the ability to work well with faculty, staff and students from varied backgrounds and talents.


Preferred Qualifications

Education:
  • Associate's or Bachelor's degree


Professional Work Experience:
  • Familiarity with Workday
  • Experience in an academic environment


Physical Requirements:
  • Able to move up to 25 lbs.;
  • Able to remain in a stationary position for extended periods of time; sit at a computer and use a mouse/keyboard for long period of time;
  • Able to work in an environment with multiple competing deadlines and frequent interruptions.

54,080.00-67,600.00

The offer rate will be based on a review of the candidate's credentials compared to the qualifications of the position, internal equity, and our overall compensation philosophy.
